You can book your trip with direct mail (firstname.lastname@example.org) or filling up the booking form from the package. You have to fill up the required information and confirm your booking. To secure your reservation, you have to deposit 25% of the total trip cost per person at the time of booking. You have to deposit another 25%, 30 days before the commencement date of the trip. Upon arrival at Kathmandu, you have to clear the rest amount. If you happen to book a trip less than 30 days before the commencement of the trip, then you have to deposit 50% amount. The remaining 50% at the time of arrival. The deposit amount is non-refundable.
We do accept last minute bookings in case of trekking, tours and other activities in Nepal. For that, you have to send us the enquiry mail and we will respond to you with better planning & travel tips. We accept various methods of payment, that include Cash, Visa, MasterCard, PayPal, Western Union, and direct bank transfer. If you decide to pay your deposit with a credit card, you are responsible for the surcharge amount.
Please, mail us the scanned copies of respective passports, two passport-sized photos & flight ticket reservations.
Due to changes in plan, holiday limits or any other unseen circumstances, you might have to bring changes to the itinerary. In such a situation, you have to notify us via mails. Oral changes will not be entertained. All the non-refundable costs incurred e.g. government permits, insurance, flight tickets, hotel bookings, etc. will be the liability of the customer. Lets Trip Nepal will not be responsible for any added extra cost incurred because of said alteration in the trip arrangement. Sometimes, because of circumstances, we have to make some changes to the itinerary (e.g. trip dates, trip duration, transport schedules or hotel accommodations) before the trip start. And we notify you of such changes as soon as possible so you could prepare yourself in advance.
During the trip, our experienced & professional guides and team leaders reserve the right to alter the entry & exit points. This is to ensure the safety and security of all the participants on the trip. Sometimes, we have to cancel or prolong the trip due to weather hazards & adverse conditions. Such situations threaten the life & safety of participants involved and cancellation will be on the best interest of every participants. The guest will be responsible for accommodation & meals of self & teams involved during the trip if it gets prolonged.
Incase of altering the timing of the trip or re-routing of the trip, Lets Trip Nepal reserves the right to levy additional charges incurred because of such amendment. In case of cancellation of the trip, an alternate trip of similar nature will be offered to you but no refund will be provided.
We are responsible for the successful completion of your trip. So, you have to cooperate with our guides, team leaders and office team during the trip. Lets Trip Nepal will not be liable to any client for the emergence of unforeseen circumstances and their consequences in case of riots, civil unrest, war, weather conditions and forces of nature, strikes, sickness, government intervention, quarantine, blackouts or any other event that may hinder or lead to cancellation of the trip.
Any changes or the cancellation of the trip, you have to notify us via mail. If you cancel your trip 30 days before the departure date (your flight date) of the trip. You will only get a half refund of the total deposit. You can also postpone the trip or transfer the trip to another person if that person meets the requirements. But then you will be liable for $200 for postpone or transfer. Since the deposit is non-refundable, you can use that sum to book the trip with us for the next visit.
In case of cancellation within the week of departure date or in-between the trek or upon arrival in Katmandu, no refund will be given.
In the case of certain restricted area trekking, peak climbing and expeditions, there should be a minimum number of clients required. In such circumstances, Lets Trip Nepal reserves the right to cancel the trip. You will get a full refund without any charges levied. But we are not responsible for the expenses incurred before such cancellation. The expenses include visa fee, gear purchases, flight tickets, etc..You cannot claim any compensation from us because of loss, damage or injury resulting from direct or indirect consequences of such said cancellation.
Lets Trip Nepal doesn’t play any role to increase the price of the trip/package after booking confirmation. But when there are certain changes in government policy, the foreign exchange rate, transportation cost, petroleum products price, airport charges, local taxes, etc, these changes impact on the overall trip costing. We inform our clients about such changes and surcharges as soon as possible. The client decides whether to cancel the trip or continue. We will proceed for a full refund if the client cancels the trip within 7 days of the notice provided. After 7 days, the refund process works as per the rules & regulations of the company.
You won’t get any refund for unused hotel accommodations, meals, means of transport or other services if you leave the trip on your own accord. When you are on a trip, due to weather hazards or your personal problems you might want to cancel your trip. In such situations, you won’t get a refund for unused accommodations, meals & other services. We recommend you to get all the services for the successful completion of the trip.
Travel insurance of any client is a necessary condition for any booking. This is a reassurance factor for the successful completion of the trip. Lets Trip Nepal requires a document stating the comprehensive travel insurance of each client. The insurance must cover medical expenses, loss of gears & personal items, emergency evacuations. In case your travel insurance doesn’t cover emergency evacuation then you have to get the one that covers the evacuation. Lets Trip Nepal looks for the proof of such travel insurance documents before the commencement of the trip. It is mandatory to carry proof of your travel insurance throughout the trip.
Every client must carry a valid passport with a valid visa for the trip duration. The passport should be valid for at least 6 months beyond the duration of the trip. It is your sole responsibility to ensure that you have valid visas for Nepal. Thus, Lets Trip Nepal won’t be liable for entry refusal to a country or regions because of invalid passport/visa. We advise you to re-confirm if you have a valid passport & valid visa before embarking on your journey. Please, carry the passport wherever you go during the trip & self-exploration of the local market in Nepal.

The guide/team leader of the trip represents Lets Trip Nepal. It’s your responsibility to respect the guide(s), porters as well as your fellow travellers. If your actions are disturbing & seem harmful with the interest of the group & the trip, we ask you to leave the trip. There won’t be any refund in this case.
In some situations, the team leader decides you drop your trip because of medical reasons/weather hazards. Further continuation risk the life of the entire team. At that time, you are obliged to follow the guidance of the team leader. Lets Trip Nepal won’t be liable for any refund in this case either.
Our terms and conditions will be null and void if the third party makes the bookings on your behalf.
We hope that you will have a wonderful holiday in Nepal. We have taken all precautionary measures to make sure you receive all the services booked as per your program. However, if there any complaints or any service that you did not receive during the trip, please contact us. We will do the needful in rectifying your problem as soon as possible.
No complaints or Reimbursements will be entertained once you have completed your booked trip and you have returned home.
